Hot August Nights Reno Swap Meet FAQ

Where can I find the Swap Meet Office?
The Swap Meet Office is located at Gate 6 off Sutro Ave.

What hours is the Swap Meet Office open?
Wednesday: Noon to 5 PM
Thursday and Friday: 6 a.m. to 5 PM
Saturday: 6 a.m. to 6 PM
Sunday: 7 a.m. to 10 a.m.
for sales tax payments.

What type items may I sell?
MUST BE AUTO RELATED or genuine pre-1972 nostalgia only. No calendar girls, vulgar products/services or signs, food, beverage, crafts, flea market items, drug paraphernalia, knives, guns, plants, novelty flags or blankets, new toys or any other items deemed unacceptable will NOT be allowed.

What types of spaces are available?
Outdoor spaces are available in the open area as well as covered areas in the Pavilion or Cutting Arena.
Indoor spaces are available at the Nostalgia Fair.

When do I set-up?
Set-up is Wednesday.

May I be open on set-up day?
Yes.

When is tear-down?
You must vacate spaces by Sunday at noon.

Is there a space preference?
Previous vendors have first choice of their previous year spaces until April 15. Space assignments depend on seniority, the date your order is received and the number of spaces ordered.

Can I get a space on the isle?
Isle and end spaces are virtually impossible to get. If paid for and not available, we will refund the difference.

What happens if I don’t show up at the event?
We reserve the right to re-sell spaces not occupied by Thursday 8 a.m. No-shows relinquish preference rights.

Will I receive a refund if I can’t attend?
Refunds will be made prior to 45 days of event.

Will I receive any passes with my space?
Each vendor will receive two passes.

Are extra passes available?
Extra passes will be available for purchase at the Swap Office.

What about generators or other noise causing equipment?
No noisy generators. Excessive stereo display noise is not allowed. Objectionable sound and lyrics will not be tolerated. We ask that you be considerate of your neighbors. No generator use after 10:00 PM or before 5:00 a.m.

What should I do if there is inclement weather?
Make sure that your merchandise and canopies are secured for afternoon wind gusts. We swap rain or shine.

Can I get around the premises on my scooter?
Scooters, golf carts, mopeds, skateboards, skates, bicycles or motorcycles are NOT permitted on RLEC Swap Meet Grounds.

Can I use a scooter if I am handicapped?
Single Occupancy Handicap (ADA) approved scooters will be allowed for handicapped individuals.

As a vendor, do I charge Nevada Sales Tax?
Nevada Sales Tax is 7.375%. WPE will supply you with a Nevada Sales Tax Form. This form and your sales tax must be returned to the Swap Office no later than 10 a.m. on Sunday.

Are there other City or State Fees?
There is a $20 City of Reno License fee per vendor. Add this amount to fees as shown on the vendor application.

Is there power available in the spaces?
Power is available in the Pavilion and Cutting Arena only. We do not guarantee that power is always available.

Is security provided?
Security is provided Thursday, Friday and Saturday.Area is extremely large and neither WPE, HAN, or any of its employees shall be held responsible for any loss or damage occasioned by theft, fire, smoke, acts of God, public enemy, riot, civil commotion or other insurable hereto with respect to any loss or damage. It shall be the responsibility of WPE and exhibitor respectively to secure their own insurance or otherwise protect themselves and its property against any such loss or damage.

Can I purchase vendor space at the gate?
Space may be purchased at the Swap Office. There will be an additional $20 administration fee.

Can I stay in my space overnight?
Overnight camping in your vendor space is permitted. (No fires allowed.) Generators should not be used from 10:00 PM to 5:00 a.m.

Are hotel rooms available?
Discounted rooms are available for vendors. Contact Western Pacific Events for information.
